Will my property be pre-billed the Convention registration fee?

All Best Western®, Best Western Plus®, Best Western Premier®, Vib®, Glo®, Executive Residency by Best Western®, @Home by Best Western and Aiden® branded hotels will be billed a non-refundable $885.00 USD registration fee on their September 1 statements. This registration fee is billed in accordance with Best Western Rules & Regulation 500.50, whereas all properties are automatically billed for one (1) registration fee the month prior to the Convention.  

Registration fees are not auto billed for BW Premier Collection®, BW Signature Collection®, SureStay Hotels & WorldHotels Collection. Your hotel will be billed the $885.00 USD registration fee for each attendee after the Convention occurs.

How does the registration pre-bill work?

The first person to register from a property will fulfill the "Pre-Billed" registration fee. Any additional registrants from the same property will be billed $885.00 USD after the Convention occurs. 

No one from my property will be attending - why am I still being billed?

In accordance with Best Western Rules & Regulation 500.50, every property in the system is automatically billed a non-refundable registration fee of $885.00 USD, whether an attendee registers to attend or not. 

When is the Convention Registration deadline?

Register by Friday, September 27th to avoid the $200 late/onsite registration fee. Any registrations received after September 27th, including on-site at the Convention. will incur the late fee penalty. 

By registering online for the Convention, am I also securing a hotel reservation?

No. After the online registration process has been completed, your email confirmation will include the link to reserve a room at one of the host hotels. For information on the Convention host hotels, please click HERE

What is the deadline to make a reservation at one of the host Convention hotels?

The housing deadline for the Convention hotels is Friday, September 27th. Be sure to reserve early, as housing blocks are likely to sell out before the cutoff date. For information on the Convention host hotels, please click HERE

Need to make a change to your reservation?
Please reach out to the hotel you booked with directly to make any necessary changes or cancellations.

How can I cancel my Convention registration, and will I get a refund?

To cancel your Convention registration, send an email to the BWH Hotels Meetings & Events team (bwconferences@bwh.com) and include the following information.

  • Registrant Name(s)
  • Property Name
  • Property Number

Please note, if you are the only person attending from your hotel, the pre-billed registration fee is non-refundable.

Additional registrations will be refunded only if the cancellation is received on or before Friday, October 11th.

If you've made a reservation at one of the host hotels, be sure to contact the hotel directly to cancel your room reservation. 

How can I cancel Convention social event tickets?

To cancel your Convention social event tickets, send an email to the BWH Hotels Meetings & Events team (bwconferences@bwh.com) and include the following information.

  • Guest Name(s)
  • Ticket(s) Purchased
  • Property Name
  • Property Number

Social event tickets will be refunded only if the cancellation is received on or before Friday, October 11th.

How do I register for an optional workshop?

Registration links for Convention optional workshops are available on the "Optional Workshops" tab.

Please make note of the specific fees and cancellation policies associated with optional workshops. If you have questions or need assistance, please contact the Education & Training department (edtrain@bwh.com). 

When should I arrive/depart?

We encourage all attendees to refer to the Convention Agenda to determine their arrival and departure dates. 

Optional Workshops and activities (BWBW Golf Tournament) will be offered on Sunday, October 20th. 

The 2024 Convention officially begins on Monday, October 21st. Please review the agenda for more details.

The convention will officially conclude on Wednesday, October 23rd after the closing dinner & entertainment. 

What are the attendance requirements for Best Western hotels?

General Manager Attendance Requirement

500.58 Each Best Western Property is required to assign and maintain a full time General Manager, empowered, responsible, and accountable for the daily operations of the Property. The General Manager shall attend either the Annual Convention or a District (Regional) Meeting each year.

It is important to note that the Voting Member cannot attend in place of the General Manager unless the Voting Member is also the designated General Manager as registered in the Best Western corporate records.

Property Meeting Attendance

500.11 A Member or designated operating manager or active management employee of each Best Western Property shall attend either the Annual Convention or a District (Regional) Meeting each year.

Accordingly, based on Rule 500.11, only one of the individuals designated must attend Convention or a District (Regional) Meeting. These individuals could be the owner, voting member or any other active member of the property’s management team.

Please note that photo identification is required to obtain all Convention badges/credentials from the registration desk.

Attendees ARE NOT permitted to pick up materials on behalf of other attendees. 

How do I earn GM continuing education credits at Convention?

General Managers will earn one (1) General Manager Continuing Education (GM CE) point for attending the 2024 Convention.

Your current 6-digit Hotel Portal Username (also known as your MemberWeb ID) must be provided at the time of registration to credit your account in OWL.

You must also check in at the conference registration desk and provide photo identification in order to receive your badge. Once you have checked in onsite, record of your attendance will be provided to the BWH Hotels Education & Training Department.

Optional workshops held before the meeting, may also be eligible for GM CE points. Classes that are worth CE points are noted in program descriptions on the Optional Workshops tab of this website.

What is the Convention dress code?

Attire for business sessions and breakouts is business casual. The dress code for the Welcome Reception on Monday, October 21st is casual (jeans appropriate). The Wednesday, October 23rd dinner and entertainment is also business casual.
