This Event Privacy Policy explains how Best Western International, Inc. (“BWI,” “we,” “us,” or “our”) collects, uses, and shares personal information related to BWI’s event. It applies only to information collected for or during the event. Other interactions with BWI are covered by BWI’s general privacy policy available at bestwestern.com.
Information We Collect
We collect personal information you voluntarily provide during registration, including your name, address, phone number, email address, company or hotel property information, emergency contract, dietary preferences, and communication preferences.
Use of Your Information
We use your information to register you for the event, provide event services, send event updates and logistics, comply with legal or business requirements, and if you choose to receive these communications, improve future events and communicate about event sponsors and products.
We may also share your registration information with third-party vendors, trade show exhibitors, and sponsors (“Vendors”) that you choose to interact with through the Lead Retrieval System (defined below), so they may contact you directly about business supplies or services.
Communication Preferences
At registration, you may choose to receive the optional communications below. Your consent is not required to participate in the event, and you can opt out at any time.
- Marketing emails from BWI about the event’s sponsors and their products; and
- Text messages from BWI with a link to a survey at the end of the event.
BWI will send you transactional emails and text messages regarding event information and logistics (e.g., updates to event times, speakers, or other event-related updates) and important safety, security, or emergency information.
You may change your communication preferences at any time by contacting the event organizer.
Lead Retrieval & Exhibitor Interactions
BWI and Vendors use a lead retrieval system at the event that allows Vendors to receive certain attendee contact information after an attendee chooses to share it (“Lead Retrieval System”).
Your event badge contains a QR code. If you allow a Vendor to scan your badge during the event, you are choosing to share your contact information and company or hotel property information with that Vendor. The Vendor may then use your information to contact you about its products or services in accordance with its own privacy policy. BWI is not responsible for a Vendor’s privacy practices after you choose to share your information with that Vendor.
How We Share Information
We may share your information with service providers that help us operate the event (e.g., registration, badge, communications, survey, technology, security, or event management providers). We may also share information when required or permitted by law or to protect rights or safety.
